In short
Setting up VPB is four steps. Import your drivers, trucks and trailers from a CSV and upload your documents. Assign each document to a driver, truck, trailer or the whole company. Drivers sign in and their paperwork caches to the phone. From then on a daily check flags every document before its expiration date.
Step 1: Upload
Bring in your documents.
Drag in permits, registrations, insurance certs, and anything else the binder holds. Import your trucks, trailers and drivers from a CSV exported from whatever you run now: map your columns to ours on screen, fix the flagged rows, confirm.
Every record comes out the other side with its own QR access code already generated.

Step 2: Assign
Tell VPB what belongs to what.
Attach each document to a driver, a truck, a trailer, or the whole company. Mark the categories your fleet requires and every entity starts showing what's missing.
Assign a driver to a different truck and that truck's paperwork is what they see.

Step 3: Show
Roadside, in one scan.
The driver hands over a phone with the portal open, or the officer scans the QR sticker on the truck or trailer. The page loads with no app and no login, documents grouped by category, colour-coded green, amber, red. Files cache to the driver's phone, so it works with no signal.
49 CFR § 390.32 allows electronic methods to satisfy the recordkeeping requirements in Parts 300 to 399.

Step 4: Monitor
Let the daily check do the watching.
Every document carries its expiration date. Permito can read it off the document so nobody types it. VPB checks daily and flags anything inside its warning window: 30 days ahead by default, set per document category. Affected drivers get a push notification; admins get one email each morning.
A daily check means an expiring permit never sits unnoticed.
