Frequently asked questions

Will DOT officers accept documents on a phone?

Federal regulations recognise electronic documents. 49 CFR § 390.32 allows electronic methods to satisfy the recordkeeping requirements in Parts 300 to 399. Copies have to be legible and viewable on demand. Some state-issued permits still have their own rules, which is why every truck and trailer also carries a QR sticker an officer can scan.

What happens when there's no cell signal?

Documents cache on the driver's phone. Once synced, the permit book opens with no signal: weigh stations, dead zones, doesn't matter.

How long does setup take?

Most fleets are running the same day. Import your roster from a CSV, upload your documents, assign them. No IT department required.

What if a driver switches trucks?

Documents attach to the driver, the truck, the trailer or the whole company, not to a phone. Assign the driver to a different rig and that rig's paperwork is what they see.

What does VPB do that a shared drive doesn't?

It watches the dates. A daily check flags every document before it expires (30 days ahead by default, set per document category), and one email each morning lists what's expiring and what's expired.

Do drivers need training?

If they can open an app, they're trained. Drivers see only what's current for their assignment: nothing to file, nothing to manage.
